How Kalendar looks after your data
An appointment book holds names, phone numbers, and often a good deal more. This page sets out plainly how that information is stored, who can reach it, and what we will never do with it.
Storing your data
- All traffic between you, your clients and Kalendar runs over HTTPS.
- Data is encrypted at rest on the server.
- A full backup of every organisation is taken daily.
- Payment provider credentials are stored encrypted and are never displayed back in full.
- Each organisation’s data is separated; one account cannot reach another’s.
Who can see what
- Permissions are set per user — their own appointments, their team’s, or the whole organisation.
- Teams limit visibility further, to their own members and appointment types.
- Every change to an appointment, client or setting is written to an activity log with the user and the time.
- The client portal is reachable only through an unguessable link, which you can regenerate at any time.
- Private notes, tags and no-show counts never appear on a client’s own page.
Your connected accounts
- Calendar access is used to check for conflicts and to create entries for bookings made through Kalendar.
- Kalendar never edits or deletes an entry it did not create, and never deletes a calendar.
- Use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
- Disconnect any integration at any time; the token is discarded.
GDPR
- Only the data needed to run the service is collected.
- Your data is never sold, and is not used for advertising.
- You can request an export, or deletion, of your personal data.
- Deleting your organisation removes its data, and its clients’ portal pages with it.
- Consent forms your clients accept are stored with the exact text, the time and the IP address, and a withdrawal is recorded rather than erased.

If you believe you have found a security issue, please write to support@kalendar.gr with enough detail to reproduce it. We will confirm receipt and keep you informed while we work on it.
